2B Advice is pleased to announce the release of version 7.6 of its data protection management software 2B Advice PrIME. All SaaS users can look forward to the new features starting December 15th. For all users of Enterprise licenses who host their 2B Advice PrIME system themselves, the update will be available for download on the 2B Advice PrIME portal from December 15.
GENERAL
1. language support extended
2B Advice PrIME now also supports the following languages:
- Chinese
- Polish
- Spanish
- Turkish
Workflow templates are now also available in German.
2. compliance with deletion deadlines
Over time, the creation of measures in 2B Advice PrIME stores a lot of personal data. In order to comply with the deletion deadlines for completed measures, there is now the function of automatic deletion after a specified time.
3. different roles per client, processing or check
In complex company structures, it can happen that employees with different authorizations and roles have to work on different clients. For this reason, a user role can now also be assigned at client level. For example, an employee can have all the rights of a data protection officer in one company of an organization, but only those of a data protection coordinator in another company of the same organization. These individual roles can be assigned per client, processing or check.
4. extended overview of measures
Measures can be used in 2B Advice PrIME for a wide variety of tasks. For example, to distribute tasks to different people in the company. To give users a better overview of their tasks, two additional columns have been added to the task view. The category and resubmission date are now displayed in the overview. This makes it possible to see at a glance which category the measure is assigned to and when it is due for resubmission. This makes everyday work much easier.
5. escalation of tickets
The ticket system is used by many of our customers to record and document processes. As these processes can also involve time-critical issues that are important for the company, it should be ensured that there is an automatic escalation option if a deadline is exceeded. The administrator can now specify that an escalation email is sent to an additional email address after a configurable period of time.
6. reports
Our report engine previously supported the common Word, Excel and PDF formats. What is new and unique is that we can now also generate PowerPoint presentations directly from 2B Advice PrIME. This means that you can generate a presentation for the board of directors at the touch of a button, always with your current data. You can find a template for generating a professional PowerPoint presentation on the 2B Advice PrIME portal. Of course, you can customize it or provide your own template.
7. hiding the explanations tab during processing
As part of the introduction of Cookie Consent, Privacy Statement Generator and Administration and Consent Management, a new "Declarations" tab has been added to the Processing module. This new tab can now be hidden by the administrator if these functions are not used. We can also take this opportunity to announce that there will soon be an additional stand-alone cookie consent and whistleblower application that can be used independently of 2B Advice PrIME.
8. data processing on behalf of subcontractors
At the latest in the context of Schrems II, higher data protection requirements were defined in relation to third country transfers. It is now also necessary to record the third country transfers of subcontractors. It is therefore possible that an order processing contract also explicitly provides for sub-processors who process data outside the EU. To reflect this, it is now possible to add sub-processors to contracts as additional parties.
It is possible to record the country, the framework and the name of the subcontractor for each subcontractor. This information is also taken into account when selecting the contract for processing. If a sub-provider is selected for a processing operation, the information on transmission abroad is activated. The information on the applicable framework and the country of data processing is also transferred. Of course, you can also overwrite all or part of the transferred data.
PERSONAL PRIVACY PORTAL
The Personal Privacy Portal (PPP) is a company-specific portal that can be made available for coordination with employees who are not to work directly with 2B Advice PrIME. This can be done without these employees having to be created as users in the system. In this portal, employees can see measures, checks and processing for which they are authorized. This makes it possible to involve people in data protection who are not trained in the use of 2B Advice PrIME and give them easy access to information.

A new feature is that measures and checks can now also be completed directly in the PPP.
2. collection of processing operations
Recording processing poses challenges for every company and is very resource-intensive. 2B Advice PrIME offered the option of entering a processing operation online at an early stage. A preconfigurable form is still available for entering new processing within the company. However, in order to offer our customers even more flexibility, the reporting of processing operations has been supplemented by the option of recording processing operations in the PPP. It is now possible to define and individualize the requested fields yourself.
Furthermore, a workflow can be linked to the processing message so that predefined workflow steps must be run through when a processing message is sent. Of course, this workflow can also be freely defined. For example, it can be a review by a data protection officer or the risk analysis of a processing operation. This means that many steps in the notification of processing can be automatically forwarded to the right people.
3. linking actions to a workflow
It is now possible to integrate questionnaires into a workflow. For example, an additional risk questionnaire can be requested when processing is reported in order to better assess the individual risk of processing. The following actions can now be triggered within a workflow in addition to the online procedure:
- Removal of editing rights
- Deactivation of registration mode (with additional options)
- Completion of exam assessments
- Create selected report
- Execution of a defined check when a workflow is started
- Continuation of a workflow according to a defined test result
4. automatic creation of users and roles
Before processing can be entered by the relevant department, the new user must be assigned a corresponding right and role. This can now be done automatically with an appropriate LDAP connection. For example, new contacts who leave a company email address can be automatically created as users in 2B Advice PrIME. The role assigned to the new user in the system can be preconfigured according to the information found in the company directory. If the system finds the corresponding information in the company directory, the predetermined role is assigned in 2B Advice PrIME.
ONLINE EXAMS - ASSESSMENTS
Our online exams are a widely used tool for conducting exams/assessments and simply collecting important information.
1. dependent questions
Exams in 2B Advice PrIME can contain questions that are dependent on another question. They can only be processed if there is a specific answer to this question. Otherwise they remain blocked. To enable a user to edit an online exam more efficiently, such blocked questions can be skipped. This can now be configured accordingly in each online exam template. Dependent questions that are not active are then not displayed in the online questionnaire in the detailed view.
2. online exams
When editing by external parties, it could happen that the online check was inadvertently completed by clicking on Exit. To prevent the behavior described above, it is now possible to hide the Exit button or display an additional warning.
COOKIE CONSENT
1. support Google Consent Mode
Google Consent Mode allows website operators to customize the behavior of Google tags and scripts based on visitor consent. Google Consent Mode is now also supported by our Cookie Consent solution. To simplify the implementation of Google Consent Mode, a template is available in the publicly accessible Tag Manager Template Gallery.
2. dynamically growing cookie database
The number of cookies and their descriptions in our cookie database is now growing steadily over time.
CONSENT MANAGER
Our opt-in/out tool is used to obtain declarations of consent from many of our customers. We have expanded it to include a double opt-in/out. You can now configure opt-in/out forms so that consent must be confirmed via a link. The link is automatically sent to the e-mail address entered.
NEW CATALOGS, REPORTS AND TRAINING TEMPLATES - 2B Advice PrIME Portal
On our 2B Advice PrIME portal, all customers with a corresponding subscription or maintenance contract will find the following new templates:

3. criticality report
When checking the criticality of a processing operation, it must quickly become clear how this criticality is composed so that a decision can be made on this basis. The criticality overview report was developed to provide users with the best possible overview of the calculation of the configured criticality values. This report breaks down the individual values of the criticality calculation, making it easier to interpret the criticality value.
