A simple trick provides a remedy: the Multi-tab workflow.

Prerequisites

Instead of editing everything in one window, simply open RoPA in several browser tabs in parallel. This allows you to compare data, check fields or transfer information without having to constantly navigate.

💡 Pro tip: The authorizations remain unchanged for each tab. You only see what you are really authorized to do.

Prerequisites:

  • Access to Ailance with rights for RoPA or DPIA
  • Browser with tab function (e.g. Google Chrome, Microsoft Edge, Apple Safari)
  • Optional: two or three windows next to each other or on several monitors

How the multi-tab workflow works - step by step

1. open RoPA

Log in to Ailance as usual and open your RoPA.

2. open areas in new tabs

With Ctrl/⌘ + click, Center click or via the context menu (right-click) "Open in new tab" individual pages can be opened in parallel.

3. example setup

  • Tab 1: Processing activity (e.g. "newsletter dispatch")
  • Tab 2: Parties involved (e.g. processors, joint controllers) Responsible persons)
  • Tab 3 (optional): Draft DPIA or risk assessment


4. edit & look up

In each tab you can check fields, add information or compare linked entries.

5. combine navigation & filters

Set different filters or search terms for each tab. This turns each tab into a separate workspace.

Typical workflows in multi-tab mode

  • Processing ↔ Parties:
    While you have a Processing you can check the responsibilities, contracts or contact details of the parties involved at the same time.
  • Processing ↔ DSFA:
    Relevant risks or protective measures from the DPIA directly into the Processing take over.
  • Two finishes:
    Comparison of similar processes (e.g. "marketing emails" vs. "transactional emails").

  • Organize or pin tabs. Ideally with clear page titles - such as "Newsletter mailing | Processing".
  • Targeted filters per tab. This makes each tab a separate workspace.
